Returns Policy

How to return goods to Howcroft Group Limited, what can be returned, and how refunds and credits are handled.

Last updated: 12 March 2026

This policy explains how returns, cancellations, faulty goods and refunds are handled by Howcroft Group Limited ("the Company", "we", "us"). It supplements, and should be read together with, our Terms and Conditions of Sale. All sales are business-to-business unless expressly agreed otherwise in writing.

1. Returns Authorisation Number (RAN)

Goods may only be returned with the prior written authorisation of the Company. Before sending anything back, you must request a Returns Authorisation Number (RAN) using the process below.

StepWhat happens
1. RequestContact us with your invoice or order number, the part numbers and quantities, and the reason for the return.
2. AuthorisationWe issue a RAN and confirm the return address. No goods should be dispatched before this.
3. InspectionReturned goods are inspected on arrival against the RAN and the condition requirements in section 3.
4. Credit or refundOnce accepted, a credit note or refund is raised in line with section 6.
  • A RAN is valid for 14 days from the date of issue. Goods received after this period may be refused or returned to you at your cost.
  • The RAN must be clearly quoted on all return paperwork and on the outside of the package.
  • Goods returned without a RAN may be refused at the point of delivery.

2. Time Limits for Returns

  • Requests to return goods for reasons other than defect must be made within 14 days of delivery.
  • Shortages or visible damage must be notified to us in writing within 48 hours of receipt, as set out in our Terms and Conditions of Sale.
  • Faulty or defective goods must be reported within the applicable manufacturer warranty or guarantee period.

3. Condition of Returned Goods

  • Returned goods must be in original, unopened, saleable condition with the original packaging intact and undamaged.
  • The Company reserves the right to apply a restocking charge of up to 20% of the invoice value to cover handling, inspection and restocking costs.
  • Goods that are damaged, used, marked, incomplete or supplied in unmarked packaging may be refused for credit, or credited at a reduced value.
  • Where manufacturer packaging has been opened or seals broken, the return may be declined at the manufacturer's or supplier's discretion.
  • Unless the return is due to our error or a defect, you are responsible for the cost of returning the goods and for insuring them in transit. Risk remains with you until the goods are received and accepted by us.

4. Non-Returnable Items

  • Bespoke, specially ordered or fabricated items are non-returnable and non-refundable unless defective.
  • Cut-to-length items, including custom-cut belts, chain lengths, and fabricated or machined components, are non-returnable unless defective.
  • Opened consumables, chemicals, lubricants, adhesives, PPE and workwear that has been worn or laundered are non-returnable unless defective.
  • Calibrated, tested, modified or installed equipment is non-returnable unless defective.
  • Clearance, obsolete, end-of-line and special-purchase items are non-returnable unless defective.

5. Cancellations

  • Cancellation of an order after acceptance may only be made with the Company's written consent.
  • A cancellation charge may be applied to cover costs already incurred, including supplier restocking fees, carriage, engineering time and non-recoverable special-order costs.
  • Orders for bespoke, specially ordered or cut-to-length items cannot be cancelled once manufacturing or cutting has commenced.

6. Faulty or Defective Goods

  • If goods are faulty on arrival or fail within warranty, contact us before returning them so that we can arrange inspection, collection or a site visit where appropriate.
  • Where a fault is confirmed, and subject to the limitations in our Terms and Conditions of Sale, our sole obligation is, at our option, to repair, replace or refund the defective goods.
  • Manufacturer warranties on branded products (for example SKF, Gates, Renold, uvex) are passed through to you to the extent permitted by the manufacturer.
  • The warranty does not cover defects arising from fair wear and tear, misuse, incorrect fitting, inadequate lubrication or maintenance, modification, or failure to follow manufacturer instructions.
  • Where returned goods are found to be free from fault, our standard returns terms in sections 3 and 4 apply.

7. Refunds and Credit Notes

  • Approved returns are settled by credit note against the original purchasing account unless a refund is expressly agreed.
  • Credit notes and refunds are normally processed within 10 working days of the returned goods being received and inspected.
  • Refunds are made to the original payment method where possible, or by bank transfer, and exclude any carriage charges unless the return arises from our error or a defect.
  • The restocking charge set out in section 3, where applicable, is deducted from the credit note value.
  • Goods delivered correctly and accepted by you remain payable in full unless and until a return is authorised and completed.
